PERSONAL DATA PROTECTION POLICY STATEMENT

GENERAL

This Personal Data Protection Policy is written in accordance with the EU General Data Protection Regulation (GDPR) that comes into force from May 2018.

MAIN SOLUTIONS’s main activity is to offer sales, calibration and technical support of measuring equipment, provision of measurement and related technical studies, measurement of clean rooms and integrity tests of filters. As a provider of such professional services and products it is likely MAIN SOLUTIONS to collect, hold and process considerable amount of information of its clients which may include personal information/data. MAIN SOLUTIONS is dedicated to protect the personal data that come under its knowledge.
 

The present Personal Data Protection Policy explains how MAIN SOLUTIONS collects, stores, uses, shares and protects the personal data that obtains.

WHAT IS PERSONAL DATA
 

Personal data means any information concerning individuals, including first and last names, mailing address, email address, contact telephone number, etc., which identifies or can identify you (hereinafter "Personal Data" or "Data").
 

WHAT PERSONAL DATA WE COLLECT
 

MAIN SOLUTIONS collects personal data only when it is absolutely necessary for the provision of products and services. Data are used solely and exclusively for the purposes for which they were collected and they are limited to data explicitly provided by you for a specific purpose subject to your consent.
 

We provide our services to legal entities and not to individuals therefore we are aiming in collecting the necessary company data of our clients and potential clients for the efficient and quality planning of the provision of services. Part of these data may be personal data as explained above, and are provided by the persons representing or acting on behalf of our clients and potential clients.
 

Another type of personal data are the information included in the resumes or CVs that are submitted in soft or hard copy by applicants to work at MAIN SOLUTIONS.

HOW WE USE YOUR PERSONAL DATA
 

Your personal data are processed only by authorized MAIN SOLUTIONS staff that acknowledge the responsibility to ensure the confidentiality and protection of your data, and process them solely and exclusively for the purposes for which they were provided.
 

As a general rule, your personal data are processed with a view to providing you with services, including:
 

Quotations: We collect and store the data of our clients and potential clients that are provided by the client’s contact person who communicates with us (eg company name, name of the contact person, e-mail (company’s or the individual’s), company telephone and company fax, contact person’s mobile phone number). These data are recorded in electronic and hard copies files that are kept, accessed and protected against unauthorized access according to our certified Quality Procedures.

Newsletters/Promotional Communication: We give you the option to choose to receive our newsletters and promotional material at the e-mail that you have provided to us representing your company.

Calibration reminders: We give you the option to choose to receive reminder of calibration period at the e-mail that you have provided to us representing your company.

Response to inquiries: We use your Data to answer to requests/questions you make through our website or to our company e-mails.
 

Customer Satisfaction Surveys: We process Data that you provide to participate in surveys. You have the option to either fill in all or no information to relevant questionnaires that we send to you.

Evaluation of applications for employment: We evaluate job applications and resumes that we receive from applicants either by post or e-mail or through our website for possible employment with MAIN SOLUTIONS. We store all CVs in protected electronic file and the evaluation of the applications is only performed by authorized personnel. We will retain the CVs of applicants in our file strictly for a period of 1 year after the period of which they are permanently deleted. We can keep your CV for a lesser period if you request it.

SHARING AND TRANSFER OF PERSONAL DATA
 

MAIN SOLUTIONS warranties that it will not transmit, disclose, convey, and share your Personal Data to third parties (others the ones listed below) for any purpose or use, unless it is mandatory under applicable legislation or required by public/ judicial authorities.
 

Access to your Personal Data is granted only to the absolutely necessary Company staff, who are bound by confidentiality agreement, and to the following third parties:
 

Suppliers and manufacturers of equipment: In very rare occasions it may be needed your personal data to be provided to suppliers and manufacturers of equipment that we sell/represent for delivery purposes. In such a case your consent will be requested. The majority of these suppliers/manufacturers is based in the E.U. and a small portion is from outside E.U. All legal procedures are followed for the sharing of the data and the commitment of the third parties for the protection of the data that are provided to them is required.
 

Company’s external auditors: In terms of their normal auditing duty. Confidentiality and Data Protection Agreements will bind auditors and MAIN SOLUTIONS.
 

Banks: Provision of necessary information of our employees for payroll purposes.
 

Insurance companies: Provision of necessary information of our employees for insurance coverage purposes. Confidentiality and Data Protection Agreements will bind insurers and MAIN SOLUTIONS.
 

MAIN SOLUTIONS will not sell or transfer your personal data to a third party for their direct marketing use.
 

The staff of MAIN SOLUTIONS will use your data to contact you on any matter related to the provision of the services, any changes to these services or for notifying you about new products and services or promotional activities. Such data will be used until you notify us that you no longer wish to receive these services or until we consider it not necessary to continue to hold it, whichever is sooner.

DATA SECURITY

MAIN SOLUTIONS applies reasonable security measures and policies to protect your personal data from unauthorized access, loss, disclosure, or amendment.

The access to your personal data is limited to those who have a need to know.
 

We implement information security procedures applicable for the physical protection of our premises and hard copy files and for the protection of the electronic data that are stored in our company server in dedicated and well defined folders.

RETENTION PERIOD OF THE PERSONAL DATA

We will retain your personal data until such time as it is required for business purposes and will then delete your personal data unless there is a requirement by law to continue to maintain. At any time we will delete your personal data upon your request.

YOUR RIGHTS REGARDING PERSONAL DATA
 

By accessing or using MAIN SOLUTIONS’s services, you agree to and accept the collection, processing and use of your personal data by MAIN SOLUTIONS according to this Policy.
 

In case that you do not agree to this Policy please do not access or use MAIN SOLUTIONS’s services.
 

You have the right to see what data we hold about you. In this case we may ask proof of your identity and will answer your request within 30 calendar days, free of charge.
 

You can ask us to correct your personal data at any time. In case you consider your personal data incorrect, incomplete or not updated, you can contact us in order to require the correction, addition or deletion of them.
 

You can ask us to not process your personal data. You have the right to object to processing your personal data if we are not entitled to use them or to have your information deleted.
